About the Role

Join Fresh Life as a Graduate Trainee in Talent Operations in Nairobi, Kenya. This 1-year graduate program aims to equip graduates with work-ready skills, specifically tailored to HR and administrative functions. Collaborate with the Talent Operations team to ensure smooth and efficient office and HR operations.

Key Responsibilities

Office Administration

  • Welcome visitors and show them around the office.
  • Assist in coordinating office activities and handle phone calls.
  • Ensure the office space is clean, tidy, and well-arranged.
  • Set up meeting rooms and ensure equipment is ready for meetings.
  • Update utility trackers and issue approved office supplies.
  • Coordinate maintenance and renovations as needed.

Casual Management

  • Collect and manage casual worker information, including attendance and hours worked.
  • Compute casual payments for Nairobi, Kisumu, and Eldoret offices.
  • Conduct weekly spot checks with casual workers and address issues.
  • Administer casual contracts and maintain a tracker for contract management.

NITA and Employee Separation

  • Request and file NITA training approvals and claims.
  • Draft resignation letters and certificates of service.
  • Initiate employee clearance and ensure company assets are returned.
  • Terminate exiting employee profiles and update internal trackers.

Salary Advance Requests and Pension

  • Compile monthly salary advance requests and share with Accounts.
  • Share pension forms with new employees and assist with pension withdrawals.
  • Update the pension tracker and ensure employees can access their statements.

Medical Cover Enrollment

  • Enroll new employees and dependents in medical coverage.
  • Update medical member trackers and remove exited employees.
  • Follow up to ensure new joiners are enrolled in Smart Access.

Requirements

  • Diploma/Degree in Human Resource Management, Business Administration, or a related field.
  • Previous knowledge in HR practices, administrative, and general office experience is desirable.
  • Proficiency in MS Word, Excel, and G-Suite.
  • Team player with excellent communication and interpersonal skills.
  • High levels of energy, enthusiasm, and ability to work under pressure.
  • Impeccable integrity, ethics, and confidentiality.
